President
  • The President shall preside at all meetings of the Board of Directors. The President shall also be an ex-officio member of all committees, except the Nominating Committee.
  • The President shall coordinate and administer the rules, policies and principles of Miss Shen Softball of Clifton Park, Inc.
  • The President shall appoint all members of various committees except the Nominating Committee. The members of the Nominating Committee shall be selected by majority vote of the Board of Directors.
Vice President
  • The Vice President shall assist the President and, in the absence of the President, shall perform the duties of the President.
  • The Vice President shall be the parliamentarian and shall attend all meetings and give recommendations and counsel to the Nominating Committee.
  • The Vice President shall be elected with the express understanding of the General Membership and the Board of Directors that the holder of said office will automatically ascend to the Presidency in the next term, should they desire.
Treasurer
  • The Treasurer shall receive all monies for the League and deposit same in the name of Miss Shen Softball of Clifton Park, Inc. on a bank approved by the Board of Directors.
  • The Treasurer shall keep an itemized account of receipts and disbursements and maintain books and records in an orderly manner.
  • The Treasurer shall give a written report at regular meetings and a complete written annual report to the Board of Directors at the first meeting of the year.
  • The Treasurer shall prepare and submit the League’s budget to the Board of Directors for approval at the first meeting of the year in January.
Secretary
  • The Secretary shall keep an accurate record of the proceedings and activities of all meetings of the General Membership and the Board of Directors, and shall maintain minutes of all meetings.
  • The Secretary shall conduct all necessary correspondence of Miss Shen Softball of Clifton Park, Inc.
  • The Secretary shall notify all officers and members of their appointments to committees.
  • The Secretary shall send out notices of meetings.
Equipment Coordinator
  • The Equipment Manager shall be responsible for ensuring that the League has safe equipment.
  • The Equipment Manager shall purchase all League equipment, as authorized by the Board of Directors, and shall ensure that proper records of receipts are supplied to the League Treasurer.
  • The Equipment Manager shall be responsible for maintaining an accurate inventory of all League equipment and shall make reports on that inventory at the close of the League season  (subsequent to Travel/Tournament play) and at such other times as is appropriate.
Uniform Coordinator
  • The Uniform Coordinator shall be responsible for distributing uniforms at the beginning of the season.
  • The Uniform Coordinator shall purchase all uniforms as authorized by the Board of Directors, and shall ensure that proper records of receipts are supplied to the League Treasurer.
Player Representative
  • The Player Representative shall be the agent for all the players in the League.
  • The Player Representative shall investigate all grievances between player(s) and Team management.
  • The Player Representative shall keep a current file of all registrations for the League.
  • The Player Representative shall be responsible for proper handling of all matters relating to the League’s program providing professional photographic services for the General Membership, subject to policies and parameters established by the Board of Directors
Clinics and Special Events Coordinator
  • The Clinics and Special Events Coordinator shall be responsible for the orderly planning and conduct of all League sponsored players’ and coaches’ educational skills development programs and clinics, subject to the policies established by the Board of Directors.
  • The Clinics and Special Events Coordinator shall negotiate with the Shenendehowa School District to procure gymnasium time to be used for winter travel team practice and select clinics.
Field Coordinator
  • The Field Coordinator shall ensure that all fields are in safe playing condition.
  • The Field Coordinator shall maintain a liaison with the Town of Clifton Park with regard to all routine matters relating to the maintenance and use of the fields at Clifton Common.
  • The Field Coordinator shall contract, if necessary, as authorized by the Board of Directors, for use of alternate or additional playing fields.
Umpire Coordinator
  • The Umpire Coordinator shall ensure that umpires are present at all games, and that such umpires meet the qualifications for same established by the Board of Directors for each Division.
  • The Umpire Coordinator shall serve and liaison and agent for the League in its contracting for professional umpiring services for Tournament and other purposes, as deemed necessary by the Board of Directors.
Signs and Sponsor Coordinator
  • The Signs and Sponsor Coordinator shall obtain Team sponsors by contacting local businesses and collecting the required fee.
  • The Signs and Sponsor Coordinator shall arrange for sale of advertising space on the outfield fences and other appropriate locations on the Clifton Common softball fields.
Fund Raising Coordinator
  • The Fund Raising Coordinator shall direct all fund raising for the League.
Registration Coordinator
  • The Registration Coordinator is responsible for maintaining the relationship between Miss Shen Softball of Clifton Park, Inc. and the third-party web service that provides on-line registration.
  • Registration Coordinator is responsible for maintaining registration events on the third-party web service that provides on-line registration.
  • This includes, but is not limited to:
  • Entering information, descriptions, and registration guidelines for League Membership
  • Travel/Tournament Team registration and fees
  • Clinic and camp registration and fees
  • The Registration Coordinator shall send to The Player Representative a current file of all registrations for the League.
T-Ball, A, AA, AAA, Major, Senior Division Coordinators
  • The Coordinator shall supervise all Division activities.
  • The Coordinator shall receive and coordinate information received from the teams of the Division.
  • The Coordinator shall conduct all managers’ meetings.
  • The Coordinator shall refer all matters requiring Board action to the Board of Directors and ensure that League policies are adhered to within the Division.
  • The Coordinator shall supervise the “Draft” or Team selection.
  • The Coordinator shall appoint a Team Manager/Head Coach, subject to the Board of Directors approval.
  • The Coordinator shall receive official protests from Division Managers for presentation to the Board of Directors.
  • All protests submitted to the Coordinator must be accompanied by a $5.00 administrative fee. The fee will be returned to the protesting Manager in the event the protest is upheld. If, after a hearing, the protest is not upheld, the fee of $5.00 will be deposited in the Miss Shen Softball of Clifton Park, Inc. general account.
  • The Coordinator shall work with the Umpire Coordinator to ensure that umpires are present at all games.
  • The Coordinator shall prepare the schedule of games and ensure that each game, including those rained out, is completed.
  • The Coordinator shall make players and parents aware of the roll of the Player Representative.
  • The Coordinator shall organize and administer the selection of coaches, managers and players for the recreational league.
Travel Coordinator
  • The Travel Coordinator shall represent Miss Shen Softball of Clifton Park, Inc. at Hudson Mohawk Girls Softball Association meetings and shall inform the Board of Directors accordingly.
  • The Travel Coordinator shall cooperate with all travel coaches should they need any assistance in equipment, tournaments, registration, etc.
Website Coordinator
  • The Webmaster shall be responsible for the orderly maintenance, upgrading and updating of the official Miss Shen Softball of Clifton Park, Inc. website.
Public Relations Coordinator
  • The Public Relations Coordinator shall handle League publicity.
Tournament Coordinator
  • The Tournament Coordinator shall bear primary responsibility for organizing all tournaments hosted or sponsored by the League and shall make recommendations to the Board of Directors regarding the successful operation of such tournaments.
  • The Tournament Coordinator shall serve as liaison for the League with all teams and organizations having legitimate interest in any tournaments hosted and sponsored by the League.
  • The Tournament Coordinator shall cooperate, as necessary and proper, with all members of the Board of Directors affected by or having a bearing on the successful completion of said tournaments.
  • The Tournament Coordinator shall, in a timely manner, recruit and recommend to the Board of Directors at least one tournament director for each tournament sponsored by the League.
Director(s) at Large
  • All past Presidents (or prior board members), having served on the Board in that capacity for at least one full term (or 5 years of participation on the Board of Directors) and not currently serving in any other capacity on the present Board of Directors, shall automatically be offered by that Board, at its first organizational meeting, a position as Director at Large on said Board. Upon acceptance of said offer, the Board shall elect such person(s) to the Board as provided in Article IIIA. Such person(s) shall serve on the Board in a capacity or capacities determined by the Board.
  • When approved by a majority vote of the Board of Directors, Director(s) at Large may be elected to the Board. That election shall be in accordance with Article IIIA above. The creation of Director at Large shall be created only in those cases where a specific task, the nature of which is commensurate with membership on the Board of Directors, requires completion; e.g., Major Fund Raising Coordinator position for the duration of the initial work to raise funds for and to prepare the Clifton Commons site. Such position shall be terminated by the Board of Directors at the completion of the year in which the task is completed.
